Privacy Policy
Information we collect
When you submit the discovery questionnaire or contact form we collect the name, company, email address and any phone number or notes you provide, together with the answers you selected.
We collect standard technical information such as IP address, browser type and pages visited, used in aggregate to understand how the site performs.
We do not use advertising trackers and we do not sell personal information to third parties.
How we use it
To respond to your enquiry and prepare a proposal.
To provide services under an agreed contract, including project communication and delivery.
To meet legal, accounting and regulatory obligations.
We rely on legitimate interests for responding to business enquiries, and on contract performance for client work.
Retention
Enquiries that do not become engagements are retained for 24 months and then deleted.
Client records are retained for the duration of the engagement and for seven years afterwards where required for legal and accounting purposes.
Sharing and processors
We use third-party providers for hosting, email delivery, analytics and customer relationship management. Each is bound by a data processing agreement and processes data only on our instructions.
We do not transfer personal data outside the UK, EEA or an adequate jurisdiction without appropriate safeguards in place.
Your rights
You may request access to the personal data we hold about you, ask us to correct or delete it, object to processing, or request portability.
To exercise any of these rights, email privacy@oakvertics.com. We respond within 30 days.
If you are unsatisfied with our response you may complain to the relevant supervisory authority in your jurisdiction.
Security
Data is encrypted in transit and at rest. Access is restricted on a least-privilege basis and reviewed quarterly.
We maintain an incident response process and will notify affected individuals and regulators where required by law.
